Most PPM schedules are written once, filed, and quietly abandoned by month four.
Planned preventive maintenance schedules fail for a consistent reason: they are designed for completeness rather than for execution. A schedule listing 340 maintenance activities across 90 assets is technically thorough and practically unusable. The technician responsible for executing it has neither the hours nor the clarity to do so. Within a quarter, the schedule becomes a document that is signed rather than followed. Build from criticality rather than from asset lists. Identify the assets whose failure causes operational disruption, safety risk or significant cost. In a commercial building this typically means lifts, fire systems, HVAC chillers, DG sets, water pumps, STP equipment and electrical panels. These justify rigorous scheduling. A pedestal fan does not. Match frequency to manufacturer guidance and observed failure patterns, not to a generic template. A DG set in regular weekly use requires different attention from a standby unit operated monthly. Assign ownership by name, not by designation. 'Technical team' is nobody. 'Senior technician on A shift' is somebody. Make completion verifiable. A signature confirms that a form was signed. A photograph, a reading, a meter value or a consumable replaced confirms that work occurred. Review exceptions rather than completions. A monthly report showing 100% completion is less informative than one showing which three tasks slipped and why. Schedules that report perfect compliance every month are usually not being measured.
